This position is responsible for coordinating the administrative functions of the School of Aviation and assisting the Dean in managing the day-to-day operations of the School of Aviation. Frequent interruptions contribute to the complexity of the position. The purpose of this position it to provide administrative support and customer service for the department operations. Success in this position contributes to the efficiency and effectiveness of those operations.

MAJOR DUTIES:

• Coordinate and manage the School of Aviation administrative duties on a regular basis.

• Provide assistance to faculty, other staff, and students.

• Manages the Dean’s schedule and calendar; schedules appointments.

• Inputs course schedules and pricing into Banner.

• Manages information on the School of Aviation website.

• Maintains required records for operating and travel budgets.

• Attends meetings and records minutes.

• Primary responsibility for organization of all personnel files.

• Administers drug testing for the School of Aviation.

• FAA Testing backup examiner.

• Textbook entries for part-time faculty.

• P-card holder.

• Orders and maintains office supplies.

• Responsible for classroom and office space usage.

• Administers contracts and pay memos.

• PeopleSoft – requisition entries and receiving.

• Perform other duties as assigned to support campus operations.

REQUIRED QUALIFICATIONS: Completion of an associate’s degree or 3 years administrative assistance experience. Excellent oral and written communication skills. Skill in interpersonal relations and in dealing with the public. Problem solving skills. Outstanding customer service skills. Attention to detail. Ability to work in a fast-paced environment. Skill in prioritizing and organization of workload. Knowledge of computers and job-related software programs. Knowledge of modern office practices and procedures. Skill in the use of such office equipment, scanner, fax machine and copier. Must possess a valid driver’s license.

PREFERRED QUALIFICATIONS: Knowledge and level of competency associated with completion of specialized training and a Bachelor’s Degree. Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with completion of at least two years of experience. Knowledge of university and school policies and procedures. Knowledge of Banner/Swords, MyDegree, Works, web management and PeopleSoft. Knowledge of admission, registration and degree program requirements.

PHYSICAL DEMANDS/ WORK ENVIRONMENT: The work is typically performed while sitting at a desk or table. The employee occasionally lifts light object. The work is typically performed in an office.

CONTACTS: Contacts are typically with co-workers, faculty, staff, students and members of the general public. Contacts are typically to give or exchange information, to resolve problems, and to provide services.

SALARY: Pay Grade 14
