Description:

  JOB SUMMARY: This position is responsible for directing the day-to-day operations of the Office of Academic Affairs, including oversight of all routine Academic Affairs processes.

MAJOR DUTIES:

  • Works collaboratively with faculty governance and the administration to develop and implement academic policies and academic affairs procedures.
  • Responsible for ensuring all programs and curriculum are approved through faculty governance and in alignment with USG BOR policies, SACSCOC policies and approved by all appropriate bodies.
  • Develops and implements communication systems to disseminate information about existing, new, and revised academic affairs policies and procedures to the university community.
  • Works collaboratively with the deans to create strategies and processes for ensuring effective scheduling and effective utilization of academic space.
  • Works with the Office of Academic Affairs to provide leadership and oversight for academic units on all campuses and to ensure the quality, integrity, and cost effectiveness of academic programs.
  • Coordinates with deans to execute programs, policies, and procedures; to evaluate course enrollment trends; to evaluate planning materials; to develop academic calendars; and to develop operational guidelines.
  • Assist with all student issues related to academics, readmission, retention, progression, and graduation.
  • Address the needs of special student populations to include dual enrolled, learning support, and adult learners.
  • Provide leadership for student academic support systems to include Advising, Library resources, and Student Success Centers.
  • Represents the Office of Academic Affairs at school and community functions and in cases of emergency.
  • Performs related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION:

  • Knowledge of academic affairs policies and procedures.
  • Knowledge of national, state, and local issues related to post-secondary education.
  • Knowledge of University System of Georgia Board of Regents policies, procedures, practices, requirements, and reporting structures.
  • Knowledge of Southern Association of Colleges and Schools (SACSCOC) accreditation policies, procedures, practices, requirements, and reporting structures.
  • Knowledge of related federal policies, procedures, regulations, and laws.
  • Knowledge of program curriculum review and development.
  • Knowledge of shared governance principles.
  • Skill in collaborating with multiple constituents.
  • Skill in the operation of computers and job related software programs.
  • Skill in decision making and problem solving
  • Skill in the delegation of responsibility and authority.
  • Skill in interpersonal relations and in dealing with the public.

SUPERVISORY CONTROLS: The Provost and Vice President for Academic Affairs assigns work in terms of goals and objectives. The supervisor reviews work through conferences, reports, and observation of Office of Academic Affairs activities.

GUIDELINES: Guidelines include university bylaws, the faculty handbook, university statutes, the Board of Regents Policy Manual, and SACSCOC accreditation standards.  These guidelines require judgment, selection, and interpretation in application.

COMPLEXITY/SCOPE OF WORK:

  • The work consists of varied management duties. Strict guidelines and standards contribute to the complexity of the position.
  • The purpose of this position is to direct the day-to-day operations of the Office of Academic Affairs.   Success in this position contributes to the success of the academic affairs of the university.

  • Contacts are typically with co-workers, other university personnel, faculty, staff, students, representatives of other colleges and universities, alumni, representatives of the Board of Regents, and members of the general public.
  • Contacts are typically to give or exchange information, to resolve problems, to motivate or influence persons, or to justify, defend, or settle matters.

PHYSICAL DEMANDS/ WORK ENVIRONMENT:

  • The work is typically performed while sitting at a desk or table.
  • The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY: This position may have direct supervision over other offices related to Academic Affairs.

QUALIFICATIONS:

  • Knowledge and level of competency commonly associated with completion of a doctoral degree in a course of study related to the occupational field.
  • Experience sufficient to thoroughly understand the diverse objectives and functions of the subunits in the school/department in order to direct and coordinate work within the school/department, usually interpreted to require three to five years of related experience.

COMPENSATION CLASSIFICATION:

  • Position is exempt (monthly paid).
  • Pay grade 26.
