This position is responsible to assist with overseeing the day to day operation of the Macon campus.  He/she will manage the coordination of Transfer Evaluation, Graduation Eligibility, Scribing of MyDegree, and assist with ADC error reporting. 

MAJOR DUTIES

  • Assist with reviewing student records to determine graduation eligibility; verifies necessary documentation and required coursework.
  • Assist the University Registrar with corresponding with academic advisors and other university personnel to ensure requirements are met for graduation.
  • Assist the University Registrar reviews and processes petitions related to graduation requirements, including course substitutions, exceptions and waivers.
  • Assist with the Graduation Coordinator positing of degrees to academic transcripts.
  • Share the responsibility of ADC clean-up error with the other Assistant Registrar.
  • Oversee all Transfer Credit policy and evaluation records.
  • Serve as secondary manager for MyDegree Scribing to maintain detailed and accurate files.
  • Assist the University Registrar with the upkeep of the Registrars’ website
  • Assist with the preparation of required reports for University System of Georgia.
  • Assist with submission to the National Student Clearing House.
  • Performs related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION

  • Knowledge of the university catalog.
  • Knowledge of university and University System of Georgia graduation requirements.
  • Knowledge of academic grading and transcripts.
  • Knowledge of Degree Clearance Software (MyDegree or similar)
  • Knowledge of data analysis and reporting.
  • Skill in the operation of computers and job-related software programs.
  • Skill in decision making and problem solving.
  • Skill in interpersonal relations and in dealing with the public.
  • Skill in oral and written communications.

SUPERVISORY CONTROLS

The University Registrar assigns work in terms of general instructions.  The position will work as a supervisor to spot-check completed work for compliance with procedures and the nature and propriety of the final results..

GUIDELINES

Guidelines include the university academic catalog, software user instructions, Board of Regents policies, and the Family Educational Rights and Privacy Act (FERPA).  These guidelines require judgement, selection and interpretation in application.

COMPLEXITY/SCOPE OF WORK

  • The work consists of varied duties in the review and evaluation of student records. Strict guidelines and deadlines contribute to the complexity of the position.
  • The purpose of this position is to provide day to day supervision to graduation coordination, transfer credit coordination, serve as backup for MyDegree scribing and ADC reporting. Success in this position assists the Office of the Registrar to anticipate students’ needs while formulating consistency and enhancing student experiences and retention.

  • Contacts are typically with staff member being supervised, co-workers, other university personnel, faculty, staff, students, and members of the general public.
  • Contacts are typically to give or exchange information, to resolve problems, or to justify, defend or settle matters.                                                               

PHYSICAL DEMANDS/ WORK ENVIRONMENT

The work is typically performed while sitting at a desk or table.  The employee occasionally lifts light objects.  The work is typically performed in an office.

 SUPERVISORY AND MANAGEMENT RESPONSIBILITY

Supervise the Graduation Coordinator, Catalog Student Specialist, and Transfer Evaluation Specialist with a dotted line to the University Registrar.

 MINIMUM QUALIFICATIONS

  • Knowledge and level of competency commonly associated with the completion of a baccalaureate degree; preferred master degree, in a course of study related to the occupational field.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for three to five years experiences in higher education.
