Description:

DESCRIPTION:  Middle Georgia State University is seeking candidates for an Administrative Secretary. This position is responsible for providing administrative support for department operations.

 

RESPONSIBILITIES:

  • Answers telephone and greets visitors; provides information and assistance; refers to appropriate personnel.
  • Receives student forms and routes to appropriate personnel or department.
  • Maintains assigned department records.
  • Processes a variety of departmental reports and documents; secures required signatures.
  • Enters class schedules.
  • Makes room reservations for Media, Culture, and the Arts classes.
  • Updates class rolls.
  • Processes textbook orders.
  • Oversees student workers
  • Makes copies.
  • Faxes and scans documents.
  • Prepares correspondence and memoranda.
  • Assists in the student admissions process.
  • Assists in the management of budgets.
  • Maintains office supply inventory; coordinates purchases with vendors.
  • Processes faculty pay memoranda and appointment letters.
  • Performs related duties as assigned.

 

MINIMUM QUALIFICATIONS:

Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years. Knowledge of modern office practices and procedures. Knowledge of computers and job-related software programs. Skill in prioritizing and organizing work. Skill in the use of such office equipment as a computer, scanner, fax machine, and copier. Skill in oral and written communication.

 

PREFERRED QUALIFICATIONS:

Knowledge of university and department policies and procedures.

 

SALARY: 

Pay Grade 10
