JOB SUMMARY: This position is responsible for coordinating the review of student records to determine graduation eligibility.

 MAJOR DUTIES:

• Reviews student records to determine graduation eligibility; verifies necessary documentation and required coursework.

• Corresponds with academic advisors and other university personnel to ensure requirements are met for graduation.

• Reviews and processes petitions related to graduation requirements, including course substitutions, exceptions and waivers.

• Posts degrees to academic transcripts.

• Awards, prints, and mails diplomas to students meeting university and University System of Georgia graduation requirements.

• Prepares replacement diplomas to graduates as requested.

• Maintains detailed and accurate files.

• Reviews student no-shows for each session; drops students reported as not attending; contacts faculty members failing to submit no-show reports.

• Prepares and submits required reports to the University System of Georgia.

• Prepares a variety of reports for submission to the National Student Clearing House.

• Assists in preparing and conducting graduation ceremonies; orders academic regalia for graduation.

• Responds to queries from faculty, staff and students regarding academic requirements for graduations.

• Processes transcript requests.

• Performs related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION:

• Skill in the operation of computers and job related software programs.

• Skill in decision making and problem solving.

• Skill in interpersonal relations and in dealing with the public.

•Skill in oral and written communication.

 MINIMUM QUALIFICATIONS:

• Knowledge and level of competency commonly associated with the completion of a baccalaureate degree in a course of study related to the occupational field.

• Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

• Knowledge of data analysis and reporting.

• Skill in the operation of computers and job related software programs.

• Skill in decision making and problem solving.

• Skill in interpersonal relations and in dealing with the public.

• Skill in oral and written communication

PREFERRED QUALIFICATIONS:

• Experience in registrar's office

• Higher Education experience

• Highly detailed oriented

• Excellent organizational skills

• Knowledge of the university catalog.

• Knowledge of university and University System of Georgia graduation requirements.

• Knowledge of academic grading and transcripts.
