Description:

The Transfer and Enrollment Specialist will perform administrative work related to the Registrar's Office and academic processes and procedures. He/she will coach and provide guidance to MGA Online and on campus services. This position will specialize in an area of expertise, such as transfer credit, veteran student eligibility, and advocate for student support, customer relations and petitions to the university community on students behalf. Serve as the subject matter expert for Registrar functions, academic record, petition, and appeals. Perform duties successfully in consistency with the mission and vision of Middle Georgia State University.

MAJOR DUTIES:

• Evaluate transfer credit for students transferring through our strategic partnerships and into MGA Direct online degree programs.

• Research transfer courses and PLA credit to determine the eligibility of transfer credit.

• Attend recruitment events, as needed, to advise students on the transferability of credit with regard to the applicability of their program of study choice.

• Guide undergraduate, graduate students and academic departments in matters relating to policies and procedures.

• Serve as a One Stop coach for MGA Direct students enrolling through our strategic partnerships.

• Communicate with students about preparing and providing necessary supporting documentation.

• Process requests, evaluate transcripts, requests against regulatory requirements, and problem solving.

• Respond to questions regarding the process and related academic policy.

• Coordinate efforts and related information with the Corporate Partnerships and Student Transitions Office, Admissions Offices, Financial Aid, departments/divisions, Technology Services, internal committees and external regulatory agencies.

• Generate reports to provide data for MGA online.

• Serve as liaison with faculty, staff, enrollment management, and other campus programs and departments and maintain communication with academic advisors on campus.

• Other related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION:

Basic Qualifications: Higher Education Experience

Education: Bachelor's degree or equivalent combination of education and experience.

Work Experience: Three to five years job related experience.

Certifications: N/A

Skills: Communication skills, written and oral; Organizational skills; Ability to interpret policies and procedures; Interpersonal skills; Problem solving skills; Analytical skills. Familiarity with a student information system such as Banner; Familiarity with other related products such as an online degree audit (e.g. Degree Works); Familiarity with the MS Office suite (Work, Excel, PowerPoint). Ability to organize, compile, and explain data and information.

PREFERRED QUALIFICATIONS: Experience working with online students services.

SUPERVISORY CONTROLS:

The University Registrar assigns work in terms of general instructions. The position will be supervised by the Assistant Registrar. Supervisor will spot-check completed work for compliance with procedures and the nature and propriety of the final results.

GUIDELINES:

Guidelines include Board of Regents policies, agreements with other institutions, FERPA requirements, and university policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK:

Establish effective and meaningful relationships with students to support their academic goals by utilizing a combination of high-level analytical and interpersonal skills as well as independent judgment when developing effective and creative solutions to student problems; work with students (and parents, when appropriate) using strong communication skills, to explain complex university policies, identify student needs, and to provide direction in helping students obtain resources and navigate challenges; serve as an active team member internal and external that will facilitate student success by providing expert knowledge to identify and explore solutions and interventions. Collaborate with various departments to implement interventions to improve student outcomes. CONTACT Contacts are typically with MGA Online, co-workers, other university personnel, faculty, staff, students, representatives of other institutions, and members of the general public. Contacts are typically to give or exchange information, to resolve problems, or to justify, defend or settle matters.

PHYSICAL DEMANDS/ WORK ENVIRONMENT:

The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

The University Registrar assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures and the nature and propriety of the final results.

MINIMUM QUALIFICATIONS:

• Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for three to five years.

• Familiar with Student Information Systems (banner preferred).

• Familiar with document imaging software.

• Familiar with Social Media Platforms.

• Familiar with MyDegree.

• Experience working with students in a higher education setting. Experience with data collection, maintenance, retrieval, and analysis.

• Familiar with Catalog and higher education Policy and procedures preferred.

PAY GRADE: 16
