DESCRIPTION: This position is responsible for the coordination of certification requirements for Veteran Educational Benefits, state and federal financial aid.

MAJOR DUTIES:

  • Assists military, veteran and dependent students in applying for education benefits (VA, State or Federal)
  • Records and reports student data.
  • Monitor VA-ONCE student enrollments to ensure compliance with program requirements.
  • Records changes in student enrollment status (VA Fm 22-1999b).
  • Monitors student accounts to ensure proper scholarship/financial aid crediting.
  • Maintains and tracks changes to program policies and procedures; reviews certification handbook; monitors program Web site.
  • Orients new students to program policies and procedures.
  • Monitors student grades to ensure compliance with program requirements.
  • Establishes new student files.
  • Assists with external program audits.
  • Responds to questions and concerns from students; provides information and assistance.
  • Assists in the completion and processing of out-of-state tuition waivers.
  • Attends conferences and training sessions to remain informed of program policy or procedure changes.
  • Refers students to other internal or external resources.
  • Performs related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION:

  • Knowledge on VA educational programs (Ch. 30, 31, 33, 35, 1606 and 1607).
  • Knowledge of university and technical college system policies and procedures.
  • Knowledge of data analysis and reporting.
  • Skill in the operation of computers and job related software programs.
  • Skill in decision making and problem solving.
  • Skill in interpersonal relations and in dealing with the public.
  • Skill in oral and written communication.

SUPERVISORY CONTROLS: The Executive Director assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures and the nature and propriety of the final results.

GUIDELINES: Guidelines include the VA School Certifying Handbook, MGA/CGTC catalogs, FAFSA policies and procedures, and university/college graduation requirements. These guidelines are generally clear and specific, but may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK:

  • The work consists of related duties in the administration of VA education and training benefits, state and federal grants and financial aid. Strict guidelines contribute to the complexity of the position.
  • The purpose of this position is to coordinate the review and assessment of student records to determine eligibility for educational benefits. Success in this position ensures compliance with program requirements and contributes to the effective delivery of funding to eligible students.

  •  Contacts are typically with co-workers, other university and college personnel, faculty, staff, students, VA representatives, and members of the general public.
  •  Contacts are typically to give or exchange information, to resolve problems, or to justify, defend or settle matters.

PHYSICAL DEMANDS/ WORK ENVIRONMENT:

  •  The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, stooping, bending, crouching or walking. The employee frequently lifts light and occasionally heavy objects.
  •  The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY:

None.

MINIMUM QUALIFICATIONS: 

  • Earned Bachelor’s degree from an accredited college or university in a related field.
  • One to two years of experience to understand the basic principles relevant to the major duties of the position.
