JOB SUMMARY: This position is responsible for the processing of incoming and outgoing mail and other packages.

MAJOR DUTIES:

Mailroom Duties: 50%

  • Picks up, sorts, processes and routes incoming and outgoing mail, packages, and freight for campus delivery.
  • Operates postage meter, including adding postage, processing large quantities of envelopes for departments, and coordinating repairs with vendor.
  • Prepares outgoing UPS, FedX, or other freight for pickup.
  • Responds to complaints and inquiries regarding lost mail; completes related forms; makes referrals for investigation.
  • Locates proper addresses and makes corrections for misdirected mail.
  • Coordinates with Purchasing, Inventory Control, and Accounts Payable for proper delivery and receipt of orders.
  • Operates a forklift to load and unload trucks.
  • Couriers items to other campuses or other off-campus locations.

Vehicle Service: 10%

  • Cleans, fuels and prepares fleet vehicles or golf carts for use by faculty and staff.
  • Drives golf cart for campus visitors, as requested and scheduled.
  • Assists Campus Facilities Manager with odometer, fuel card, and gathering information for reports to BOR.

Special Events/Moves/Setups: 40%

  • Assists with individual or departmental moves, event setups, and special event support.
  • Carries, moves, sets up, and breaks down boxes, furniture, tables, chairs, stages, tent canopies, trash cans, podiums, or other items needed to support moves and special events.

KNOWLEDGE REQUIRED BY THE POSITION:

  • Knowledge of or ability to learn computers and job related software programs.
  • Knowledge of or ability to learn campus buildings, departments, and offices.
  • Skill in the operation of a forklift, vehicle, and golf cart.
  • Ability to read, understand, follow and enforce safety procedures.
  • Skill in the safe and efficient operation of a variety of hand and power tools.
  • Skill in decision making and problem solving.
  • Skill in interpersonal relations and in dealing with the public.

SUPERVISORY CONTROLS: The supervisor assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with instructions and established procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES: Guidelines include U.S. Postal Service regulations and departmental and college policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK:

  • The work consists of related duties in the receipt and processing of mail, packages and assisting with moves and setups. Inclement weather contributes to the complexity of the position.
  • The purpose of this position is to receive and processes mail, packages, and assist with moves and setups. Success in this position contributes to the efficiency and effectiveness of a variety of campus operations.
  • The employee may be required to work after hours, weekends, and be on-call.
  • All employees must pass a background check, motor vehicle report, and may be required to submit for a credit check for issuance of a purchasing card. MGA is a drug-, alcohol-, and tobacco-free campus.

CONTACTS:                                                                    

  • Contacts are typically with co-workers, other college employees, delivery personnel, and members of the general public.
  • Contacts are typically to provide services, to give or exchange information, or to resolve problems.

PHYSICAL DEMANDS/ WORK ENVIRONMENT:

  • The work is typically performed while intermittently sitting, standing, stooping, walking, bending, or crouching. The employee frequently lifts objects weighing up to 100 lbs and may assist others I moving heavier objects, climbs ladders, uses tools or equipment requiring a high degree of dexterity, and utilizes the sense of smell.
  • The work is typically performed in an office, stockroom, warehouse, and outdoors, frequently in hot, cold or inclement weather. The employee may be exposed to noise, dust, dirt, grease, and machinery with moving parts. Work requires the use of protective devices such as masks, goggles, gloves, etc.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY: None.

MINIMUM QUALIFICATIONS:

  • Ability to read, write and perform basic mathematical calculations
  • Possession of valid driver's license for the type of vehicle or equipment operated.

PREFERRED QUALIFICATIONS

  • CLASS A or B CDL

COMPENSATION CLASSIFICATION:

  • This position is non-exempt (biweekly paid).
  • Pay grade 8.
